1. Who we are

Klipwerks ("we", "us", "our") is a website design service based in the Free State, South Africa. We build direct-booking websites for guesthouses, B&Bs, and self-catering accommodation. Our contact details: [email protected], +27 83 783 4407.

2. What information we collect

We collect personal information that you provide voluntarily through our contact form, WhatsApp, email, or phone:

• From enquiries: Your name, business name, phone/WhatsApp number, email address, location/town, and any message content you provide.
• From clients: Business details, photos, logos, text content for your website, invoice and payment information (processed via third-party payment gateways — we do not store card details).
• Automatically: Standard server logs (IP address, browser type, pages visited) and basic analytics data. We use Plausible (cookieless) and Google Analytics to measure site traffic; see Cookies below.

3. Why we collect it (lawful basis)

We process your personal information for these legitimate business purposes:

• To respond to your enquiry and provide a quote (you asked us to contact you).
• To build, host, and maintain your website if you become a client.
• To send invoices and process payments.
• To communicate with you about your project or service.
• To improve our website and services.

We do not collect more information than is necessary for these purposes.

4. How we use your information

We use your information to:

• Reply to enquiries and provide quotes.
• Build and maintain client websites.
• Send invoices and process payments.
• Provide support and communicate about your project.
• Improve our website performance and content.

We do not sell, rent, or share your personal information with third parties for marketing purposes.

5. Who we share it with

We only share information with service providers who help us operate:

• Hosting provider: Where your website and its data are stored.
• Payment gateway: To process invoice payments (Yoco, Payfast, or similar). Card details are handled entirely by the gateway — we never see or store them.
• Email provider: To send transactional emails (receipts, account invites).

We may disclose information if required by law or court order.

6. How long we keep it

• Enquiry data: Deleted if you do not become a client within 12 months of your enquiry, unless you ask us to keep it.
• Client data: Kept for the duration of our service relationship, plus 6 years for tax/invoice records as required by SA law.
• Analytics/server logs: Retained for a maximum of 90 days.

7. Your rights under POPIA

You have the right to:

• Request access to the personal information we hold about you.
• Request correction of inaccurate information.
• Request deletion of your information (subject to legal retention requirements).
• Object to processing of your information.
• Withdraw consent for direct marketing at any time.
• Lodge a complaint with the Information Regulator if you believe your rights have been violated.

8. Direct marketing

We may contact you via WhatsApp, email, or phone in response to your enquiry or if you have expressed interest in our services. We will not send unsolicited marketing messages. You can opt out at any time by replying "STOP" or emailing us, and we will remove you from our contact list.

9. Security

We take reasonable technical and organisational measures to protect your information:

• HTTPS encryption on all pages.
• Secure hosting with access controls.
• No storage of payment card details.
• Limited internal access to personal data.

10. Cookies

We use minimal cookies for essential site functionality. We do not use third-party advertising cookies.

We use two analytics tools. Plausible counts page views in aggregate without cookies. Google Analytics sets first-party cookies (_ga and _ga_*, kept for up to two years) and records the pages you visit, how you reached the site, your approximate location, and your device and browser type. Google receives this information as our operator. We use it only to measure the site, not to identify you or to target advertising. You can block these cookies in your browser or install the Google Analytics opt-out add-on; the site works the same without them.

11. Children's information

Our services are directed at business owners. We do not knowingly collect personal information from children under 18.

We may update this policy. Changes will be posted on this page with an updated date. Significant changes will be communicated to active clients.
